Appendix III. Database Listing Files

 

Each time you save the Personnel Database, CV-Schedule automatically creates a set of Database Listing Files which contain the same information as the Personnel Database. The listing files are convenient for seeing at a glance how family members are scheduled and checking the Personnel Database for mistakes.

 

You can view and print the Database Listing Files with your word processor the same way as the Schedule and Sign-In Sheets.

 

CV-Schedule makes a set of Database Listing Files for each Database Set you have created. The “All Personnel” file lists all volunteers together. There is also one file for each ministry that lists only the volunteers who serve in that ministry. See Appendix I for a list of the files names used.


The columns in the Database Listing Files show the same information you entered in the Database forms in CV-Schedule. However, a few abbreviations are used to save space:

· The “Fam   ID” column shows the Family # and the Family member ID.

· The “Code” column shows the Scheduling code and optional suffix.

· The “Spec’l” column shows the Specials categories.

· A “~” symbol in the Ministry columns indicates the Alternate Ministries option is in effect.

· E-mail addresses, Unavailable dates and Must schedule dates are not shown.

 

TIP: You cannot make changes or corrections to your Personnel Database by making a change in a Database Listing File. If you are viewing a Database Listing File with your word processor and spot something that needs to be changed, make a note of it. Then, select the Personnel Database from the Main Menu in CV-Schedule and make the correction there.
