4  Glossary

 

Backup n. A copy of a computer file that can be used to restore data in case the original file is damaged or destroyed.  v. To make a backup file. 

 

Database  A computer file containing information CV-Schedule uses to make schedules. CV-Schedule uses 5 databases: Ministry, Regular Service, Special Service, Personnel and Formats.

 

Database Form  A Dialog Box that allows you to view, enter and modify the contents of a Database.

 

Database Manager  The part of CV-Schedule that allows you to create and modify the Databases.

 

Database Listing  A document created by CV-Schedule that shows information stored in the Personnel Database about the volunteers. CV-Schedule creates Database Listings for all volunteers combined and for the volunteers who work in each ministry separately.

 

Database Set  A set of 4 databases, Ministry, Regular Service, Special Service and Personnel, used to make a Schedule. CV-Schedule allows up to 4 Database Sets for 4 different Schedules such as Sunday Services, Weekday Masses,  etc.

 

Dialog Box  An area of the computer screen devoted to some particular function.

 

Field  An area within a Dialog Box where you can enter data by typing on the keyboard.

 

Formats Database  The database that contains information about the appearance of the schedules: Font, margins, page orientation, etc. A single Formats Database is common to all Database Sets.

 

Group  A subset of a Ministry. CV-Schedule allows you to schedule two Groups within a Ministry. For example, First and second Lector, or Head Usher and Regular Ushers.

 

Main Menu The screen you see when you first start CV-Schedule. You select all operations from the Main Menu.

 

Service  A church meeting or event. CV-Schedule can be customized to show these meeting as “Mass” for Catholic Churches, “Service” for Protestant Churches, or any other name you choose. They are called “Service” in this manual.

 

Ministry  An activity to be scheduled. Typical Ministries are: ushers, greeters, Eucharistic Ministers, lectors or readers, altar servers, offertory family, choir, organist, musicians, etc.

 

Ministry Database  The database that contains information about the Ministries to be scheduled.

 

Page  The section of a database that contains information about a single Service, Ministry or Volunteer.

 

Partner Group  A group of volunteers, usually in the same family, who are marked in the Personnel Database as being grouped so that CV-Schedule can coordinate their schedules.

 

Personnel Database  The database that contains information about the volunteers who serve in the various ministries.

 

Regular Service Database  The database that contains information about Services or Masses which occur regularly each week.

 

Rich Text Format (RTF)  A technical specification for sharing documents among different word processors. CV-Schedule creates its schedules in RTF for ease of use with different brands of word processors.

 

Schedule  A list of volunteers showing the times they are scheduled to serve. CV-Schedule creates one schedule for each ministry. The schedules can be viewed and printed using a word processor.

 

Scheduler  The part of CV-Schedule that uses information in the databases to compile a Schedule.

 

Sign-In Sheet  A list of all volunteers who are scheduled to serve at a Service with a blank line for the volunteer to sign-in. CV-Schedule creates one Sign-In Sheet for each Service.

 

Slot  A duty position that can be filled by a volunteer. The number of slots available in each ministry is set in the Service Database. The Scheduler attempts to fill all available slots.

 

Special Service Database  The database that contains information about special one-time Masses or Services such as Christmas Day, Ash Wednesday, Ascension, Confirmation, Easter overflow, etc.

 

Volunteer  A person who is scheduled by CV-Schedule. Information about volunteers is stored in the Personnel Database.

 

Word Processor  A computer program, such as Microsoft Word, Microsoft Works, WordPerfect, etc.,  designed for writing and editing text documents. A word processor is needed to view and print the schedules created by CV-Schedule.
